Events

Modify | Delete | Calendar

An event is simply a record of something that happened. Events are historical in nature.
They provide a record of all completed todos and closed deals. You can create
any other events that may have occurred during the course of a deal.
For example, you could record a phone call to a particular client as an event.
Any todos that have been completed could be
entered as events.

If you click on the phone number or e-mail address of a client, prospect, or contact in the Prospects or Clients list, you can create an event
for that contact - the idea is to make it easy for you to record phone calls and e-mail messages sent to contacts.
When you click on an e-mail address, you will be taken to a form where you can fill in the
text of the message and add additional addresses to which to send the message. When you click on "Send" the
e-mail message will be sent, and an event will automatically be created. The subject of the e-mail will be
part of the event's name, and the text of the e-mail will be found in the event's "notes" field.

An event can be associated with a prospect or client,
a contact, a deal, or it can exist on its own.

Events > Create a New Event

1. Click on the "Events" tab.

2. Click on the "Create..." drop-down menu and select "Event" from
the list.

2. Fill out the "New Event" dialog. Enter the date of the event (this will default to
the current date if no value is entered). Select a prospect, or client, and deal from the drop-down
list if needed. Select a contact and add any additional notes.
*Note: If you are creating the "event" from within a prospect, client, or deal record, the
associated prospect, client, or deal will already be selected.

3. Click on the "Save" button.

4. The event will be added to your "Events" list.

Notes:

The "Save and create another Event" button allows you to
quickly create
multiple events by immediately loading a blank "New Event" form.

Because events are historical in nature, only Administrators are permitted to edit or
delete them. Other users, however, may view an existing event by going to the Events tab
and clicking on the name of the event they want to view.

Events > Modify an existing event record

Note: Only Administrators are permitted to edit events.

1. On the Events page, click on the name of the event you wish to edit.

2. Make your changes to the event record in the "Edit Event" form.

3. Click on "Save."

4. You will return to the Events list, and the message, "The event - [event name]
was successfully saved," will appear at the top of the list.

Events > Delete an existing event record

Note: Only Administrators are permitted to delete events.

1. On the Events page, click on the name of the event you wish to delete.

2. Click the "Delete" button at the bottom
of the "Edit Event" form to permanently discard the record.

Events > Calendar

The calendar view allows you to see all your associated events. You will not
see events associated with other users in your calendar.

There are three views available: daily, weekly, and monthly. To see the calendar, click
on the Events tab, and then on the "Calendar" link. Select "Daily View," "Weekly View," or
"Monthly View" from the drop-down at the top right-hand corner of the calendar. When
you are in the weekly or monthly view, you can click on a date, and you will see the
complete list of events for that day.

In the daily view, you can edit an event directly from the calendar by clicking on
the event name. After you have made your
changes and click "Save" on the "Edit Event" dialog box, you will return
to the calendar's daily view.

If the event is associated with a client or prospect, you can click on the link to the
client or prospect provided in the details for the event in the daily view. You will be taken to the "View" page
of the client or prospect record, from where you will also be able to link to the contacts,
deals, estimates, proposals, todos, and events that are associated with the client or prospect.
