Modify | Delete | Attachments feature
.
Proposals are an integral part of generating and maintaining business. Users with access to the Opportunities module can create proposals that range in complexity from very simple to very detailed. Such a proposal can then be submitted to an Approver (see Proposals approved by for details). Once approved, a proposal can be sent on to a client or prospect, who can accept or refuse it. Once accepted, the stipulations within a proposal form the basis for time and expenses billing.
Note: For a proposal to be billable, it must be associated with a client, not a prospect. To convert a prospect into a client, see Prospects > Create a Client from a Prospect.

To create a new proposal:

1. Click on the Proposals tab within Opportunities.

2. Click on the "Create..." drop-down menu (upper right corner), and select "proposal" or "proposal from another proposal."

3. In the "New proposal" form, name the proposal.

4. If you have enabled multi-currency functionality, select the currency in which you want to create the proposal.

5. Select a project owner and a client or prospect from the drop-down menus. These are required fields. (If creating from another proposal, choose the proposal to copy.)

6. Choose a proposal contact if you want to override the default contact, which is the billing contact first and the primary contact.

7. Enter any notes, if desired.

8. Click on "Create proposal." This will take you to the proposal edit screen from which you should click the Detail link, where you will see the message telling you to add proposal items.

To create multiple proposals in pdf format:
.
You can simultaneously create multiple pdf format proposals as follows:
.
1. From within the Proposals tab and appropriate subtab, click the "Customize" link at the bottom of the screen.

2. Select "Run an action" by highlighting it and clicking the green arrow to add it to your "Selected Items," then click "OK."

3. Check boxes will appear at the right of the screen. Check the boxes for the proposals you want to create and click the icon with circular arrows at the top of the column of boxes.

4. Click "OK" from the popup screen.

Attachments:

You can upload scanned or created documents to attach to your proposal by clicking on the "View/Add Attachments" link at the bottom of the "Edit proposal" dialog box. (Note: You must first create and save a proposal, then click on the "Edit" link, before you can add an attachment.) To add an attachment, click on the "Create new attachment" link in the upper left corner of the attachments window. Enter the file pathway in the "New attachment : proposal [name]" dialog, and click on "Save." The file name is saved and can be accessed by clicking on the "Download" link, or the file pathway can be edited by clicking on the "Replace" link, or the attachment can be deleted by clicking on the "Delete" link. You can attach as many documents as you need to your proposal; when finished, click on the "Close" button to return to the main "Edit proposal" dialog box.

To modify a proposal:

1. Click on the Proposals tab.

2. Click on the "All" [Proposals] tab.

3. Click on the number of the proposal whose global information you want to change.

4. Click on the "Edit" link. (Note: The "Edit proposal" dialog allows you to change *global* information about a proposal (i.e., its name, number, client/prospect assignation, status, notes, and
attachments). To make changes to any proposal items or templates, see modifying a proposal item, and modifying a template.

5. Make your changes in the "Edit proposal" form.

6. Click on the "Save" button. Please note: Approved proposals cannot be modified.)

To delete a proposal:

1. Click on the Proposals tab.

2. Click on the "All" [Proposals] tab.

3. Click on the number of the proposal you want to delete.
.
4. Click on the "Delete" button. (Please note: Approved proposals cannot be deleted.)

Important: If you delete a proposal, any proposal items within it will be deleted also.
