Alerts
.
Project budget alerts let you set up OpenAir to automatically email project owners and selected users when certain conditions are met related to:
.
1. The percentage of approved hours versus budgeted hours
.
2. The percentage of total billings versus budget
.
3. The percentage of invoiced billings versus budget
.
The email includes the project and customer name in the subject line and a description of the conditions that triggered the alert plus any custom text in the body of the email.

Create | Modify | Delete

To enable alerts for a role:
.
1. Click on the "Account" tab from within any module.
.
2. Click on the "Roles".
.
3. Click on the role for which you want to enable alerts.
.
4. Scroll to the "Projects" section and check the "View project alerts" and/or "View and modify project alerts" box as appropriate.

Once this feature is enabled for a given role, an "Alerts" sub-tab will appear under the main "Projects" tab for users with this role.

To create an alert:
.
1. Click on the "Projects" tab.
.
2. Click on the "Alerts" sub-tab.
.
3. Select "Budget alert" from the "Create" menu.
.
4. Name the alert.
.
5. Enter the dates and times that you want the alert to run.
.
6. Specify the conditions you want to trigger the alert.
.
7. Choose the projects to which to apply the rule, by either clicking "All active projects" or "Notify the selected users", clicking the create icon, selecting the projects from the "Available items" list, and clicking "OK."

8. Determine who receives the alert by clicking "Notify the project owner" and/or clicking "Notify the selected users," clicking the create icon, selecting the projects from the "Available items" list, and clicking "OK."

9. If desired change the email address from which the alert is sent.

10. Add and text you want to appear at the end of the alert message.

11. Add any descriptive reference notes about the alert.

12. Click "Save."

To modify an alert:

1. Click on the Projects tab, and then on "Alerts."
.
2. Click on the name of the Alert you wish to modify.
.
3. Make any changes, and click "Save."

To delete an alert:
.
1. Click on the Projects tab, and then on "Alerts."

2. Click on the name of the Alert you wish to delete.
.
3. Click "Delete."
