Booking grid
.
The booking grid enables authorized users to enter, edit, and delete large quantities of project bookings at once. There are two prerequisites for a given user to be able to use this feature. First, s/he must be an administrator or be part of a
role for which this feature is enabled. Second, s/he must be using it for a project at a project stage for which the booking grid feature is enabled.

To enable this feature for a role, go to the Account > Roles > [Role] link. Scroll down to the Projects section and check the "View (and modify) the booking grid" box.

To assign a role to a user, go to the Account > Users > [User ID] > Demographic link. Select the role you want from the "Role" drop-down list box and click "Save."

To enable this feature for a project stage, go to the Account > Project stages > [project stage] link. Check the "Bookings grid" box under Options.

Setup
.
A user who is configured to use the booking grid feature then goes to Projects > Projects > [Name of Project] > Booking grid > Setup, and:

1) Chooses a booking period.
.
2) Establishes start and end dates for the bookings.
.
3) Chooses users by either a) choosing specific users by clicking on the "edit" icon, highlighting users, and selecting them by clicking the green "highlight" button, or b) using the 'find' option, or c) specifying attributes users must match from the dropdowns.

4) Chooses the appropriate button for booking by hours or percentage of time.

5) Chooses how to group the booking from the dropdown menu.

6) Selects a booking type from the dropdown menu.

7) Adds and relevant notes, and clicks "Save."

8) Select to subtotal by group, if desired.
Grid
.
Once the booking grid is set up, clicking "Save" brings the user to the grid, which shows the list of users and the time (hours or percentage) for which they are booked in each period. The user can then make changes directly on this grid. By clicking "Save" these changes will be automatically incorporated in the affected users' bookings.

Note: The list of users respects the User portion of the current filter set. If an "include" filter set is current, only included users can appear. Generic resources can not. If an "exclude" filter set is current, any user who is not excluded can appear, as can generic resources.

Note: The booking grid supports resource substitution via a link in the hints at the bottom of the grid. Options
.
Project booking grid options include the ability to highlight alternate rows and to repeat the user name at the end of each row, making it easier to locate and track data on the grid. To enable these options, administrators and users with the requisite privileges navigate to Projects > Options > Booking grid options. Check the box “Highlight alternate rows” and save.
