Exporting an OpenAir Project

Set priority levels | Export to Microsoft® Project

To export an OpenAir project:

1. Select the OpenAir project that you wish to export to a Microsoft® Project file (Figure 5.1). It will become an .mpp file.

2. Enter the full path of the location of the Microsoft® Project file you want to create, or click the "..." button to browse for the file.

    Note: If the file already exists, a warning message will appear. Click "Yes" to overwrite the existing file, or "No" if you want change the name and location of the file.

3. If you don't need to set priority levels (see below), click on "Next." You will be presented with a dialog that asks, "Would you like to be able to re-import this file back into existing OpenAir project? If you click Yes, this will lock this project in OpenAir for editing. Also, [file name and pathway].mdb file will be created and kept in the same directory." Make your choice to lock or not lock the project, which will close the dialog. Then click on "Next" to continue with the export.

Setting OpenAir Priority Levels

    In the OpenAir Projects module, tasks are assigned priority levels ranging from 1 to 9. In Microsoft® Project 2000, however, tasks can be assigned priority levels of 1 to 999. In Microsoft® Project 98, priority levels are text descriptions, such as "lowest," "highest," etc. The order of priority levels can also differ, depending on how the project was initially set up. For example, 9 might be the highest priority and 1 the lowest, or it could be the opposite, with 1 as the highest priority and 9 as the lowest. You need to select the order of the priority levels for your OpenAir account, so that the OpenAir Projects Connector can properly set the priority for the Microsoft® Project file it will create.

    Click the "Advanced" button to display the "Advanced" dialog box. This mapping will take into account different priority assignments and levels in both systems, adjusting the Microsoft® Project order to that of your OpenAir account. For example, if you have your highest priority set to 1 in your OpenAir account, select the "Descending priority levels" option. Click "OK" to save your changes, or "Cancel" to close the dialog box without saving any changes.

Exporting to a Microsoft® Project File

Click "Finish" to export the project. You must wait while the export takes place.
    Note: If you are using Microsoft® Project 98, you will be prompted to give the newly created file a name and to save it. Choose an appropriate location and name for the file and click "Save." When the operation is complete, click "Done." (You can avoid having to click "Done" in the future by enabling the "Close this dialog box when complete" check box.)
    Note: A "Planning Wizard" dialog box will appear. You have the option to save the project with or without a baseline. A baseline is the original plan of the project. You can use it to make comparisons between the project's original plan and any subsequent changes that are made to it. Make your selection and click "OK." (You can avoid this dialog box in the future by enabling the "Don't tell me about this again" check box.)
    You can now review the summary of your export and click "Exit" to close the application.
