Mapping Microsoft® Project resources to OpenAir users 1. If you do not need to set priorities, once you have entered all the required information import dialog, click the "Next" button. You must wait while the application retrieves the resource data it needs to complete the import from the project plan. 2. When the operation is complete, click "Done." (You can avoid having to click "Done" in the future by enabling the "Close this dialog box when complete" check box.) The resources in the Microsoft® Project file can now be mapped to OpenAir users in the mapping resources dialog box. 3. Click "Select" for each resource, and choose from the list of the users in your OpenAir account. You can map them to the same user, if you wish, or you can map each resource to a different OpenAir user. If any of these resources were assigned to tasks in the Microsoft® Project file, the associated OpenAir users will now be assigned to the same tasks in your OpenAir account. 4. Click "Next" to proceed to the next step. Note: If you do not map your resources, you will see a prompt that will ask you if you want the unmapped resources to be mapped to "Unassigned." Go back to the Projects Connector Index • The OpenAir Projects Connector takes the duration of each task in Microsoft Project and imports it, converting it to the "planned hours" field in OpenAir. • The Projects Connector also takes the percentage allocation for each user and imports it. For example, if a user is assigned to a task at an allocation of 50% in Microsoft® Project, the user will be assigned 50% to the task in OpenAir. • The Projects Connector lets you map assigned Microsoft® Projects resources to OpenAir users; this mapping populates the planned/assigned hours values in OpenAir. Depending on OpenAir account settings, the hours may be divided up equally among all assigned resources, or each user may be assigned to a number of planned hours for the task, based on the percentage of the task allocated to each user. If you have the option "input planned hours for each user assigned to task" turned on in your account settings, the hours will show up in the task edit form as associated with each user, and the total for all users will be summed in the "Planned hours" field (which is read-only if you have this option turned on). •The Projects Connector takes into account users' schedules in OpenAir. If a task has 40 planned hours, with one user's time assigned at 100% in Microsoft® Project, the OpenAir project will show the same (i.e., the user's time is assigned to 100% of the task's 40 planned hours). The distribution of those hours will depend on the user's schedule in OpenAir. For example, if the user has a schedule in OpenAir of 8 hours per day, 5 days per week, the duration will be 5 days. If the user has a different schedule in OpenAir, the distribution of hours and thus the duration of the task will vary accordingly.
