Projects > [Name of project] > Substitution of resources for specific tasks or throughout the project This search feature will allow you to replace resources (users and generic resources) assigned to specific tasks with other resources having similar profiles, or to replace resources on all tasks throughout a project. To substitute a resource for a specific task: 1. Click on the "Projects" tab, and then on the name of the appropriate project. 2. Click on either the "Edit task/phases" link or the "Outline view" link (both contain the lists of tasks and phases). 3. In the "Assigned To" column, you will see that the names of any resources (users and generic resources) you have assigned to tasks are active links. 4. To search for a resource with a profile that matches the assigned resource's profile, click on the name of the resource. A window will pop up with the results of the search. Note: The results will display only resources that have matches in each of the profile types (skills, industries, job roles, locations, education) that are in the original resource's profile. For example, say the original resource has the location profiles "north" and "south," and has the education profiles "high school" and "bachelor's degree." A resource whose skill profile includes "north" as a location and "high school" as an education profile will be displayed in the search results. A resource whose profile includes both "high school" and "bachelor's degree," but neither "north" or "south," will not be displayed, as the resource's profile has a match with only one of the two profile types of the original resource. Note: The list of possible substitutions respects the User portion of the current filter set. If an "include" filter set is current, only included users will appear. Generic resources will not. If an "exclude" filter set is current, any user who is not excluded and generic resources could appear. Note: If you click on the "View search criteria" link, you will see the resource's profile, containing the profile types for which you are looking for matches. If you have selected a location for the project from the "Project location" drop-down list box on the "New/Edit Project" dialog box, this location will be included in the search criteria. 5. To assign a resource in the search results list to the task, click on the "Substitute" link in the "Action" (first) column next to the resource's name. 6. A message asking, "Are you sure you want to substitute this resource?" will appear. Click "OK." To substitute a resource throughout an entire project: 1. Click on the "Projects" tab, and then on the name of the appropriate project. 2. Click on the "Team" link. 3. In the "Resource" column, the names of any resources (users and generic resources) assigned to the team are active links. 4. To replace a resource with another resource, click on the name of the resource, and a window will pop up. 5. Choose a substitute resource from the dropdown menu. 6. In the Options section indicate how you want to handle allocation for the substitute resource. 6. A message will appear in the window to confirm the substitution. Click "Close." The resource you selected is now assigned to all the tasks that the original resource was assigned to. |
