Schedule requests > Submit/Approve

Note: An Administrator can designate any person, regardless of access level, to be the Approver of anyone else's Schedule request. For instructions on designating an approver, click here.

To submit a Schedule request for approval:
.
1. Click on the "Timesheets" tab.
.
2. Click on the "Schedule requests" sub-tab
.
3. Click on the "Open" sub-tab.

4. Click on the name of the Schedule request you wish to submit.

5. Click on the "Submit/Approve" link.
.
6. You will see a "Submit for approval" form that will be emailed to your Schedule request Approver. Click on the "Submit" button. (Note: If you are the Approver of your own Schedule request, you will see the message, "You are the owner and approver. Click on the Approve button to submit and approve.")

7. You will be notified by email about the status of your submitted Schedule request after your Approver has approved or rejected it.

To approve or reject a submitted Schedule request:

If you are the Approver of someone else's Schedule request, you will be notified by email when that person has submitted a Schedule request for approval. In the email message:

1. Click on the hyperlinked URL.

2. Log in to OpenAir.
.
3. Review the submitted Schedule request.
.
4. If the "Allow an approver to edit a submitted schedule request" box is checked under My Account > Company > Settings, you can edit the schedule request by clicking on "Edit schedule request," making changes and clicking "Save" or "Delete."

5. Otherwise, click the "Submit/Approve" link and click the Approve or Reject button in the upper left-hand corner of the form. (You can also choose to copy additional email addresses and add any notes, such as an explanation of your edits or why you rejected the request.)

6. Click on the "Save" button. The submitter of the Schedule request will be notified by email about the status of his/her Schedule request.

Please note: If the "Automatically create schedule exceptions when a schedule request is approved" option is selected in the "Timesheets Options" section of My Account > Company > Settings, then once a schedule request is approved, schedule exceptions are added to users' schedules, and affected bookings and project plans are recalculated.

Please note: If the "When creating a timesheet, automatically create time entries for approved schedule requests" option is selected in the "Timesheets Options" section of My Account > Company > Settings, then once a schedule request is approved, the corresponding time entries will be automatically added when Timesheets are created. They will be associated with the default Client:Project, if any, for the time type chosen.
