Schedule Requests Modify | Delete A Schedule request is a request for a change to a user's regular work schedule (e.g. for jury duty or vacation). Creating a schedule request enables OpenAir to account for time off when calculating project plans and bookings. To use this feature, it must be enabled as a company-wide timesheet setting (see Company > Settings > Timesheet options). To create a Schedule request: 1. Click on the "Timesheets" tab. 2. Click on the "Schedule requests" sub-tab. 3. Click on the "Create..." drop-down menu and select "Schedule request." 4. Complete the form by selecting the start and end dates for which you are requesting a schedule change, choosing the Reason, Service, Client: Project, and Task from the dropdown menu (depending on the settings in Company > Settings > Timesheet options, any of these fields may be required). If desired, you may add your own description and adding any additional notes. If you do not add a description, the system default ("Schedule Request for [date range]") will be assigned. 5. Click "Next." 6. Enter the number of hours you will be off for each date within the range and any relevant notes. 7. Click the "View/Add Attachments" link below the notes field to add any relevant attachments. This will pop up a new window that lets you select to attach a document by clicking the "download" link next to the appropriate document. If you need to create a document, click the "Create a new attachment" icon, click "Browse" to find the appropriate document, and click "Save." 8. Click "Save." Note: OpenAir will prevent users from creating a new schedule request that overlaps with an existing schedule request. New schedule request can overlap with account-wide schedule exceptions, but not with an existing user schedule exception. Also, schedule requests are limited to a total of six months in aggregate. 1. From within the Schedule requests tab and appropriate sub-tab, click the "Customize" link at the bottom of the screen. 2. Select "Run an action" by highlighting it and clicking the green arrow to add it to your "Selected Items," then click "OK." 3. Check boxes will appear at the left of the screen. Check the boxes for the schedule requests you want to create and click the icon with circular arrows at the top of the column of boxes. 4. Click "OK" from the popup screen. To modify a Schedule request: 1. Click on the "Timesheets" tab. 2. Click on the "Schedule requests" sub-tab. 3. Click on the "Open" sub-tab. (Schedule requests in other sub-tabs can not be edited.) 4. Click on the name of the Schedule request you want to modify. 5. If necesary, click on "Edit schedule request." 6. Make the desired changes, and click "Save." To delete a Schedule request: 1. Click on the "Timesheets" tab. 2. Click on the "Schedule requests" sub-tab. 3. Click on the "Open" sub-tab at the next level. (Schedule requests in other sub-tabs can not be deleted.) 4. Click on the name of the Schedule request you want to delete. 5. Click on "Edit schedule request." 6. Click on the "Delete" button. |
