The Alerts tab

The Alerts tab is where administrators can create and send Late Timesheet alerts and Overdue Approval alerts to relevant users. (Note: Some users will have read-only access to the Alerts tab. Also note that there are default settings in each of the drop-down menus for both kinds of alerts. The time setting is based on U.S. Eastern Time; a future release will allow you to set your alert time to correspond with your local time zone.)

Late Timesheet alert

To send out automatic reminders via email to users to turn in their Timesheets:

1. Click on the "Alerts" tab.

2. Select "Late timesheet alert" from the "Create..." drop-down menu.

3. The "Late timesheet alert" dialog requires that you select a name for the alert; optional drop-down menus allow you to select the date and time that an alert will get sent out, and to create a rule about how many days a Timesheet is late before the alert is sent.

4. By default, all users are sent alerts whether or not they have created a timesheet, if the timesheet has not been submitted within the date range of the alert rule. However, you can choose to have alerts sent only to users who have open Timesheets by clicking on the "Users with open timesheets" radio button. Alternatively, you can choose to have alerts sent only to specific users or departments by clicking on the User/Department filter.

5. Check the boxes provided to send a copy of the alert to the user's department head and/or timesheet approver. Approval processes and project approvers are excluded from the alert copy feature.

6. Click on "Save."

Overdue Approval alert

To remind Timesheet approvers via email that there are submitted Timesheets requiring their approval:

1. Click on the "Alerts" tab.
.
2. Select "Overdue approval alert" from the "Create..." drop-down menu.

3. The "Overdue approval alert" dialog requires that you select a name for the alert; optional drop-down menus allow you to select the date and time that an alert will get sent out, and allows you to create a rule about how many days an approval is overdue before the alert is sent.

4. Check the box provided to send a copy of the alert to the approver's department head.

5. Click on "Save."

To modify an approval alert:
.
1. Click on the "Alerts" tab.
.
2. Click on the name of the alert you want to modify.
.
3. Make your changes to the alert dialog.
.
4. Click on "Save."

To delete an approval alert:
.
1. Click on the "Alerts" tab.
.
2. Click on the name of the alert you want to delete.
.
3. Click on the "Delete" button.

Note: If you want to turn off an alert, rather than delete it, uncheck the "Active alert" box at the bottom of the dialog, and then click on "Save." The alert will not be distributed until you reactivate it.
