Reports > Advanced > Invoices Reports Descriptions Accounts receivable lists by client how much money each client owes you. It also shows overdue payments, and the total of the receivable amount from all clients. There is an option to create customized aging periods for the accounts receivable report. Up to five periods can be specified by designating a start and end day for each “bucket”. (No end day needs to be selected for the last period.) The report shows the amounts that fall into each customized period, in addition to amounts that are current based on the payment terms of each invoice. If the report is sub-totaled by invoice number (see below), the age of each invoice is displayed as well. When you run an "Accounts receivable" report, you have the option to sub-total the results by invoice number. If you select this option, each client in the report will have extra rows for the invoice sub-totals. (You may need to click on the "Show all" link to see these extra rows.) If you click on an invoice number in the report, a pop-up dialog box will appear, giving you the details of that particular invoice. There is also an option to exclude "Not Sent" invoices. If "one project per invoice" is selected in the Invoices section of company settings, you will also be able to subtotal by Project. Because invoices are generated per customer and not per project, all items in an invoice must have the same project to be included in this report. Therefore, if the "one project per invoice" selection was made after invoices were created, this could cause a discrepancy between the subtotals by invoice and by project. Options also are provided to run the report in the background, and to save the report for future use. Project budgets lists the budget amount assigned to each project and displays how much of that budget is still available to use. Customer statements Select from drop-down menu which client's statements you wish to see. It lists invoice totals and payments and shows the final balance for the client. Customers lists all customers and shows the invoice totals for each of them (if you run the report by "Dollars"); if you run the report by "hours," it shows how many hours you or other users on your Time Bills account worked for each of the clients in a given time period. Project when run by "Dollars" it displays how much money each projects has made for your company. When run by "hours" it displays how much hours you or other users have spent on working on each project. Services Displays a usage list of your general services in the time period specified by you. It shows for each service how many hours the service has been used for your clients and how much money you've mad e through those services. General services are the ones that you keep in your services list under the account section, usually because you are planning to use them for creating bills more than once. Expense items Displays a usage list of your general expense items in the time period specified by you. These are the expense items from your expenses list in the Account section. You put them on that list most likely because these are items that you frequently use while doing your work. Here you can see how much you charged your clients for each of these expense items. Users displays a list of all the users on this Time Bills account and their activity in the given time period. You can see how many hours they have worked (on jobs that are charged by the hour) or how much money they have accumulated by creating bills (including flat price services and expense items). Retainer balances lists each of the clients who have made prepayments to your company and the total amount received in the forms of one or more retainers and the available retainer balance. Income received list by clients how much money they paid for you in the given time period. To run an "Income received" Advanced report: Select the time period for which you want the data to be calculated, and the number of periods for which to calculate it. There are default periods available. If you have created any custom time ranges, they will also be available in the selection list. The default ending date for this report is "Today", or the current date. To run a report for an earlier time period, specify a different ending date in the "Other" field |
