Envelopes > [Name of envelope] > Billable This feature allows users with access permission to use the data they collect from their own and other users' approved envelopes to bill their clients for expenses incurred. You can also set up your account so that clients are billed automatically when envelopes are approved. Note: The "Billable" link will not appear if project billing has been enabled ("Project billing rules" has been selected from the "Get the billing rate from" drop-down list box on the My Account > Company > Settings page). To create timebills from approved envelopes: 1. Click on the Envelopes tab, and then click on the "Approved envelopes" or "All envelopes" sub-tab. 2. Click on the name of an approved envelope. 3. Click on the "Billable" tab, and then on the "Create billables" link. 4. Select the relevant client and/or project from the drop-down menu on the right side. (If you entered this information on the receipts, it will already be selected.) 5. Check the boxes to select the Receipts you wish to charge to the client or project you selected in step 4. (Note: You can check or un-check all of the items by clicking on the "Check all" or "Un-check all" buttons in the upper right-hand corner of the billing information dialog.) 6. Enter the relevant billing information (i.e., the markup, if appropriate). 7. Click on "Create the timebills." (If the receipt is associated with a project/task, the link will be retained.) 8. You will see the message that one or more timebills have been successfully created, and you can choose to click on a link to view a Billed Expense Report, which summarizes your Expenses billing transaction. To automatically bill a client when an envelope is approved: 1. Go to the My Account > Company > Settings form. 2. Enable the "Automatically bill expense items assigned to a client when an envelope is approved" check box in the "Expenses Options" section. 3. Set up global and project-level auto-billable rules if desired. (See Company > Auto-billable Rules for more information.) When an envelope is approved, timebills will automatically be created for each receipt that is billable based on your auto-billable rules. You can click on the Billable > "Billable report" link to see the "Billed Expenses Report." This report will show you the timebills that have been created from the envelope. If you see an "Auto-billed exceptions report" link, this means that some of your receipts were not automatically billed. If you click on this link, you will see a report which tells you why specific receipts were not billed. For example, you can set up the auto-billable rules to exclude certain expense items. If a receipt contained an expense item that was excluded from the auto-billable rules, it will not be automatically billed, and will appear in this report. To create timebills from receipts that were not automatically billed, click on the "Create billables" link, and follow the steps described above in To create timebills from approved envelopes. | ||
