Foreign Currency Receipts

Modify | Delete | Generic receipts | Mileage receipts

A foreign currency receipt is used specifically for recording expenses paid using foreign currency. The receipt itself will store the original price in the foreign currency and the exchange rate. The exchange rate is then used to convert the foreign currency to your company's currency in the list of receipts, and for the expense report.

There are 2 styles of foreign currency receipts. The standard foreign currency receipt feature allow users to modify the exchange rate, which defaults to the rate on the receipt-creation date. The alternative style of foreign currency receipt prevents users from editing the exchange rate, which is taken from the receipt date, rather than the receipt-creation date. To select between these two options, administrators navigate to My Account > Company > Settings > Expenses options > Foreign currency receipt type. Select “Modifiable exchange rate based on the current date” or “Non-modifiable exchange rate based on the receipt date”. Save

*Note: Add see the "Foreign currency symbol," "Foreign currency amount," and the "Foreign currency exchange rate" in your expense reports, go to the Expenses > Layout tab and select the appropriate columns for display. To override a currency's automatically provided rate, go to My Account > Company > Currency rates.

*Note: Foreign currency receipts are useful even if you have established "base currencies" in your account by enabling multi-currency functionality. You can create a foreign currency receipt in any currency regardless of whether or not you have selected it as a base currency.

To create a foreign currency receipt:

1. Click on the "Envelopes" tab.

2. Click on the name of an Open envelope in which you want to enter the foreign currency receipt.

3. Click on the "Create..." drop-down menu and select "foreign currency receipt."

4. Select (as appropriate) an expense item, payment type, status, project, and vendor from the drop-down menus. If you are using the tax locations tax calculation method, and you have enabled tax locations on receipts, you can choose a tax location or override the envelope default tax location. You can also set new tax amounts just for this receipt by clicking the blue dot.

5. Select the quantity of items and price per item. Select the currency used from the drop-down list box. The exchange rate will automatically appear in the "Exchange rate" field, but you can change it if needed (if your company has specified a fixed exchange rate, for example).
*Note: If you click on the asterisk next to the Exchange rate field, you will see the currency conversion of the price you entered based on the specified exchange rate.

6. Enter a description and the location of the foreign currency receipt (optional).

7. Enter notes if desired.

8. Click on the "Save" button.

In the list of receipts for your envelope, the "Total" for the foreign currency receipt will be in your company's currency.

To modify a foreign currency receipt:

1. Click on the "Envelopes" tab.

2. Click on the name of the Open envelope holding the foreign currency receipt you wish to modify.

3. Click on the "Receipts" tab.

4. Click on the date of the foreign currency receipt you wish to modify.

5. Make changes to the receipt in the "Edit foreign currency receipt" form.

6. Click on the "Save" button.

To delete a foreign currency receipt:

1. Click on the "Envelopes" tab.

2. Click on the name of the Open envelope holding the foreign currency receipt you wish to delete.

3. Click on the "Receipts" tab.

4. Click on the date of the foreign currency receipt you wish to delete.

5. Click on the "Delete" button. (Note: You cannot delete a foreign currency receipt that has already been compiled into an invoice; however, if the invoice has not yet been sent to a client, you can "free" its receipts by deleting the invoice. See
Deleting an invoice for details.)
