New OpenAir services and features launched today:
OpenAir Wireless for WAP-enabled phones.
New My Account module: reminders, status, message board and
centralized admin functions.
Project Tracking: project plan templates, Proposals integration and
more.
TimeSheets: email alerts for late TimeSheets and overdue approvals,
automatic approvals, default time type.
Proposals: approvals process and automatic TimeBill creation from
Proposals.
Import and export expenses from QuickBooks Pro 2000®.
1. OpenAir Wireless for WAP-enabled phones.
Now you can track time and expenses real time through any WAP-enabled phone using
OpenAir Wireless. Use your wireless phone to enter data into Time Bills
immediately-while at the client site, in the airport or anywhere you use your
WAP-enabled phone. The service costs $4.95/user/month, but it is free for the rest of
September.
Before a user can take advantage of OpenAir Wireless, the Administrator must enable
that user as follows:
Sign in to the OpenAir site;
Navigate to Account>Users>[select appropriate user]>Access
Control>[select OpenAir Wireless as a usable option for that user];
The user then does the
following:
Navigate to wap.avantgo.com/oa on their WAP-enabled phone;
Sign in as usual with Company ID, User ID and Password;
Follows the time and expense entry navigation.

2. New My Account module: reminders, status, message board and
centralized admin functions.
When you sign in to OpenAir on Thursday morning, you will notice a change in
application navigation. After signing in to OpenAir, you will now land in our new
My Account module and see the Dashboard screen and several other account- and
administrative-related tabs. This new module enhances the ease of use of the growing
OpenAir product suite.
For administrators:
the Dashboard summarizes the status of the company's account, including TimeBill
status, TimeSheet approval status, Expense Report approval status, Proposal client
approvals status, Invoice sent/not sent status, and Project Tracking task completion
status; it also includes a Message Board that facilitates communication among all
users;
the Company tab and Charges tab allows the administrator to change account- and
company-wide OpenAir settings to better customize the application and to view
charges incurred using the system.
For all users:
the Dashboard shows the status/reminders for TimeSheets approvals, Expense Report
approvals, performance of assigned tasks, and the Message Board;
My Options tab allows the user to customize his/her own view of the application
for optimal ease of use;
Guides tab displays links to all of OpenAir user guides;
the What's New tab displays a frequently updated display of all recent features
added to OpenAir.
3. Project Tracking improvements: project plan templates, Proposals
integration and more.
Thanks for your first round of feedback on our new Project Tracking module. Based on
your comments, we've added three new features this month:
Project Tracking and Proposals integration. Users can now create project plans,
phases and tasks in Project Tracking by importing the tasks outlined in a Proposal.
Navigate to Project Tracking>New Entries: Create project from a proposal
dropdown.
Project Tracking templates. Copy the phases and tasks of one project plan to
another project plan without re-keying all the data. Project Tracking>New Entries:
Create project from a proposal dropdown.
Active/inactive project designation. Now administrators can designate projects as
tracked/untracked (available/unavailable for project planning) in the Project
Tracking>Projects>Tracked Projects or Untracked Projects>[select appropriate
project]>[check/uncheck "Tracked project" check box].
4. TimeSheets: email alerts for late TimeSheet and overdue approval,
automatic approvals, default time type.
We've added four new features to Time Sheets based on your feedback in the last month:
Automatic email alerts for late Time Sheets. For administrators and mangers who
want an automatic way to remind their employees to turn in TimeSheets, we have created
late TimeSheet alerts. Customize reminders by day, hour, length of time late, user type,
email subject and message. Navigate to Sheets>Alerts>New Entries: Create Late
TimeSheet Alert
Automatic email alerts for overdue approvals of Time Sheets. For administrators
who need to remind TimeSheet approvers to review employee submissions, we have created
overdue TimeSheet alerts. Customize alerts by day, hour, length of time overdue, email
subject and message. Navigate to Time Sheets>Alerts>New Entries: Create Overdue
Approval Alert
Turn TimeSheet entries into billable time automatically. This feature is for
companies that want to automatically bill time assigned to a client in Time Sheet after
manager approval. Administrators navigate to My
Account>Company>Settings>[scroll down to Time Sheet options]>[check
"Automatically bill time assigned to a client when a time sheet is approved"]
Set default time type on TimeSheet entry grid. For users who log most of their
time to a particular time type such as regular time or over time, they can now set a
time type default when creating a TimeSheet. Navigate to Time
Sheets>TimeSheets>New Entries: Create TimeSheet drop down, fifth drop down on the
New TimeSheet screen.
5. Proposals improvements: approvals process and create TimeBills from
Proposals.
We've added two new features to Proposals based on your feedback in the last month:
Collaborate on proposal development. We have added an email approval process to
enable collaboration in preparing proposals. An employee can create a proposal draft,
submit it to a manager for approval and receive feedback via the Web and email.
Administrators navigate to My Account>Company>Settings>[check “Enable proposals
submit/approve process.” Then administrators set up an employee's approver at
Proposals>Account>Users>[select appropriate user]>Demographic>[scroll
down to Proposals are approved by dropdown list]. To use the new functionality, users
navigate to Proposals>Proposals>Draft>[select appropriate
Proposal]>Submit/Approve.
Turn Proposals directly into Invoices. Select an approved proposal, click on the
billable tab, and then choose those hourly charges, fixed fee charges, expense items,
etc. to turn into TimeBills ready for invoicing.
6. Import and export expenses from QuickBooks Pro 2000®.
Now QuickBooks Pro 2000 users can export employees' expenses for client rebilling and
employee reimbursement.
To import data from QuickBooks Pro, go to the Data Exchange tab, click on the
QuickBooks/Expense Reports "Import>Setup OpenAir for QuickBooks Pro" link and follow
the wizard.
Then, to export OpenAir expenses to QuickBooks Pro, click on the
"Export>Envelopes" link and follow the wizard. The wizard helps you set up your
employees as vendors to be paid back for incurring expenses for project work as well as
sets up QuickBooks to deposit expenses into the correct general ledger account.
