Resources
Enhancements to Resources booking chart
We are pleased to announce that we have made several enhancements to the Resources booking chart to allow for resource managers to more effectively staff resources. For companies that leverage the booking chart on a daily basis, these enhancements will allow for better visibility into resources based on multiple criteria and improved customization capabilities. An improved user interface will enable an easier and more efficient experience in gaining the necessary visibility to make staffing decisions.

In upcoming releases, we will continue to improve the booking chart capabilities to further enhance resource management needs.

New booking chart type merging color coded by time and color coded by booking type charts:
With this release, we have added a new chart type that captures information from the existing "Color coded by time" and "Color coded by booking type" charts into one view. For companies leveraging booking types to distinguish between different types of time (e.g. Confirmed or Requested), the ability to visually see the different booking types a resource is booked to is helpful for resource managers to effectively staff resources or forecast for available resources.

To view the new "Color coded by time and booking type" chart, navigate to Resources > Bookings > Chart. From the dropdown on the upper left of the form, select the new chart "Color coded by time and booking type". If a booking has been created for a resource without a booking type designated, the booking will be displayed as gray.

Additional color coding options available for booking types and default types of time:
As part of our resource booking chart enhancements, additional color coding options for booking types have been added to the previous seven colors in color palette format. One color can be assigned to one booking type. Also, for additional flexibility, if a desired color is not displayed in the color palette, users can choose to enter the hex color code in the "Hex" field. These additional color coding options will also be applied to the existing "Color coded by time" and "Color coded by booking type" charts.

In addition, we have added the ability for users to change the colors that represent default types of time such as Available, Time off, Holiday, and Unavailable. We recognize that companies often use colors that differ from the default colors to denote different types of time. For example, "Holiday" time for a company can be represented by the color yellow, however, the default is green.

To modify the color coding for a booking type or default time, navigate to the "Settings" form and under the "Booking type color codes" and "Chart color keys" sections, click on the color icon for the color to change and select a different color from the color palette or enter the hex color code.

View time period information directly on the chart:
Often times resource managers will configure a certain time period for viewing bookings for a group of resources. If managing different groups or departments that work on different projects, it is beneficial for resource managers to be able to quickly customize the start date or viewing period of the booking chart. With this release, we have added the ability to view time period information directly on the chart for quicker customization of the bookings view.

To expose the time period information, navigate to the "Settings" form and check the option "Show time period on chart". and Save. Click on the "Chart" link and change the starting date of the chart and/or the period and duration if necessary. If enabled, the time period information will be visible in all chart types.

Other resource booking chart enhancements:

  • For companies that have the need to leverage more than seven booking types to assign booked time, the number of available booking types to color code has been expanded to include up to 30 booking types. Each booking type can be distinguished by a different color.

  • If users wish to only view the new "Color coded by time and booking type" chart or do not have the need to view other chart types, users can now choose to hide the chart view dropdown from the main chart page. This dropdown allows users to toggle between different chart types from the chart page. To hide the dropdown, navigate to the "Settings" form and check the option "Hide chart view dropdown on chart" and Save.

  • Current advanced filtering capabilities found in the bookings list view can now be exposed directly onto the chart as well. To view advanced filtering, navigate to the "Settings" form and check the option "Enable advanced filtering" and Save. This causes a new dropdown to display on the chart. The default is All. You can select Create filter, which opens a popup window to allow configuration of the advanced filter for the booking chart. Additional fields for filtering have been added including resource profile types, tag group fields and additional resource fields. Note: If advanced filtering is enabled, the default filters located in the "Settings" form will be overridden.

Display appropriate booking value regardless of booking period
Resource managers often leverage the resource booking grid to create multiple bookings for multiple resources in one view. Different booking periods can be established depending on what range the bookings need to be created in. Previously, managers were able to see only bookings for the time period in which they were created. For example, if a monthly booking was created for 100% of a resource's time, the booking percentage for each individual day would not be displayed if the time period for the booking grid was changed to "Daily".

With this release, users can now see bookings in all views on the grid regardless of the booking period in which the bookings were created. Using the example above, if the booking period has been switched to the "Daily" view, but the booking was created in the "Monthly" view for 100% of time, the daily view will now display 100% for each day. The ability to view bookings regardless of period allows managers to quickly and easily modify or delete bookings that fall in between the specified time range. For example, if a monthly booking was created for March 1-March 31, managers can now select to view the bookings in a daily view and delete the March 4th booking. Once deleted, there will now be one booking for March 1-3 and another booking for March 5-31 in the bookings list view.

How to display consolidated booking values with different booking periods on the grid:
  1. Navigate to Resources > Bookings > Grid.
  2. Click on the "Settings" link and in the "Options" section, check the option "Consolidate booking by day totals into each cell (dynamic grid only)" and Save.
Note: This feature is currently only available in the dynamic booking grid. Support for the classic grid and project booking grid will be enhanced in future releases.

Varying currencies for historical loaded costs
OpenAir allows companies to enter a loaded hourly cost for individual resources for accurate reporting on project profitability. Because a user's cost may change over time due to various reasons such as a change in location, historical loaded costs may be entered for a specific date range to account for the cost update. If a company leverages the multi-currency functionality, a unique currency is associated with the current loaded cost of each user. In this release, we have extended the ability to associate a currency with a loaded cost to historical loaded costs as well. Prior to this enhancement, the historical loaded costs had used the currency for the current hourly loaded cost. This allows for more accurate reporting on historical data based on the cost value at that time.

How to select a different currency for user historical loaded costs:
  1. User with the appropriate role privileges navigate to Administration > Global Settings > Users > [select a user] > Cost.
  2. In the "Historical hourly costs" section, enter the date range, hourly cost value and under the "Currency" dropdown, select the appropriate currency.
  3. Click Save.
Form permissions for "Own Proxy" form
OpenAir's form permissions functionality has been enhanced to include the ability to apply form permissions to the Own Proxy form. The addition of form permissions allows administrators to require or hide specific fields on this form. For example, if proxy expirations are enabled for an account, it may be beneficial for administrators to require that the Expiration date field be required when users are setting up their own proxies.

To allow users to create their own proxies, navigate to Administration > Global Settings > Users > Roles > [select a role]. Select the option "Create own proxies" and Save. This role setting will allow users to select who can log in as them on their behalf. To create the proxy, users navigate to Home > Proxies.

How to configure form permissions for the Proxy form:
  1. Navigate to Dashboard/Message Board > "Log in as..."
  2. Click on the "Modify the form permissions" link in "Hints" section, make the desired changes, and click Save.
Note: Form permissions for the Own Proxy form are located in the "Log in as..." form because Administrators do not have access to the Own Proxy form.

New"Proxy action" filter for detail reports
Many companies allow users to log in on behalf of another user to either submit or approve via the proxy functionality. We have enhanced detail reports to include the ability to filter out report results based on when a proxy action has occurred. For example, in the Timesheets detail report, users can choose to only view timesheet detail values for those timesheets that were either submitted or approved via proxy. This feature is available for all reports that contain items that require an approval (e.g. Timesheets, Expenses, Invoices, etc.).

How to use the "Proxy action" filter in detail reports:
  1. Users with the appropriate role privileges navigate to Reports >Detail and select a report for an item that requires approvals (e.g. Timesheets, Expenses).
  2. Scroll down to the "Options" section.
  3. For the "Proxy action" filter, click the "Create" link.
  4. Select either "Submitted by Proxy" or "Approved by Proxy". Click OK.
  5. Run the report.
Additional filtering options for the Pending billings and Pending recognition reports
For companies that leverage the Advanced Pending billings and Pending recognition reports to view the amount that is currently available to be billed or recognized, these reports have been enhanced to include the ability to filter report results based on project controlled custom fields and the built-in "Billing code" field designated on the project edit form. Controlled custom fields are those of type Checkbox, Radio Group, and Dropdown.
